MailSteward archives messages from Apple Mail and Gmail accounts into a local relational database, preserving full text, HTML, and attachments. Users can trigger a one‑click archive operation or schedule automatic archiving, then retrieve messages with fast, multi‑term searches across fields such as date, sender, recipient, subject, and body. The tool also offers duplicate detection, date‑range filtering, and sorting by various metadata.

The software supports multiple mail accounts and can handle hundreds of thousands of messages, with a free version limited to 15,000 emails. Different editions provide additional capabilities: Lite lacks search‑saving and database export/merge features, while Pro adds enterprise‑scale performance through an external MySQL server.
